How to - Extend the Board automation

Within the Automation Center, under the section Templates, you will see two of our SLA - Time in Status templates displayed.

In the following article, we will show you what the Time in Status automation is used for, how the two automations differ and how you can use these integrations to monitor the Time in Status.

What does the Time in Status automation do?

With Time in Status you can track how long an item sits in a certain status.

For example: your board contains a default status column, that shows if an item is done, if anyone is working on it or if it is stuck. The Time in Status automation will now track every change in this column, calculate the time the item has spent in the status and save the data in the SLA Data Column, which will be automatically created (if not there already). This column is of the type monday doc and must not be changed or deleted.

Changing the content of the monday docs in this column might lead to corrupt data. Deleting the monday docs or the whole column will delete all of your Time in Status data.

How do the two Time in Status automations differ?

There are two Time in Status automations available:

  • When status changes track Time in Status.

  • When status changes track Time in Status with Calendar.

When status changes track Time in Status will calculate the time spent in a certain status by simply calculating the time passed between the date and time of the change to the current status and now (meaning the moment of the change to the next status).

When status changes track Time in Status with Calendar will calculate the time spent in a certain status by taking the chosen calendar into account. This means that the time outside of the working hours of this calendar will not be added to the time in a status. Neither will be holidays and other days off defined in the daysOff section of the calendar.

In short: The automation When status changes track Time in Status will act as if a workweek is 24/7 and there are no vacations or holidays. Whereas the automation When status changes track Time in Status with Calendar will take the working days and hours and the days off of the chosen calendar into account.

How to use the Time in Status automations?

When status changes track Time in Status.

Adding this automation is simple because you only have to click on the word status, pick one of the status columns in your board and then click on add to board. That’s it.

The automation is added to your board and whenever the status in the column you picked changes, the time will be tracked.

When status changes track Time in Status with Calendar.

When adding this automation you need to set a status column to track by clicking on the word status and choosing one of the options. Then you need to pick a calendar for this automation. The calendar will be taken into account when calculating the time in status.

Time in Status views

Time in Status - item view

To get an overview of the time an item spent in a certain status, add and open the Time in Status item view. Here you can see how long the item spent in the different statuses.

The current status is displayed in bold italics on the left-hand side. In the diagram, the current status is emphasized by an indentation. If the current status is not a final status, the current time is automatically taken into calculation.

Clicking on the show log button will show you the exact time and date the status was changed.

And if you use the Time in Status automation with a calendar you will see a little calendar button next to the show log button. Clicking it will show you the working hours of the following seven days.

The Time in Status automation is not limited to only one status column. You can add one automation for each of your status columns. If you add more than one Time in Status column to your board, the Time in Status item view will show the data for all of the columns at once.

When you don't yet have Time in Status Automation active for a board, we can calculate the Time in Status view based on the activity log. To do this, click on “show preview” in the view

Afterwards you will be able to see the time in status.

Please note that the activity log is automatically cleaned up after a few weeks according to your http://monday.com license and this can falsify the results. For this reason, we recommend activating our automation.

Time in Status - board view

When you open the Time in Status board view, you can display the Time in Status values of different items in a table format. You can apply filters and also sort the data according to your preferences.
